Vespera Vale Privacy Policy
Effective date: March 17, 2026. This policy explains how the Vespera Vale Discord application handles information while operating Endless Passes Pixelmon.
1. Information Collected
What the bot may process
- Discord user, guild, role, channel, and message identifiers
- Display names, usernames, tags, and role memberships visible through Discord
- Ticket content, transcripts, archive records, reports, and moderation notes submitted through the server
- Operational logs, audit events, command usage metadata, and dashboard-admin actions
- Webhook target metadata and runtime health data needed to operate the system safely
- Optional Minecraft integration snapshots or host-status data if that integration is enabled later
2. Why Information Is Used
Operational purposes
- Provide Discord bot features, commands, and server workflows
- Support moderation, appeals, ticket handling, and archive restoration
- Enforce server rules, prevent abuse, and maintain safety
- Track administrative changes, runtime health, and recover from failures
- Improve reliability, auditability, and service quality
3. Sharing
Who may receive data
Information may be shared with Discord, the bot operator, authorized Endless Passes Pixelmon staff, and technical service providers used to host or support the application when necessary to operate the server, investigate incidents, or comply with legal obligations. Information is not sold.
4. Retention
How long data may remain
Audit data, archive records, ticket material, and operational logs may be retained for as long as reasonably necessary to operate, moderate, secure, or recover the service. Some logs are rotated, compacted, archived, or pruned according to internal maintenance policies, but moderation and archive records may persist longer when required for server integrity.
5. Security
How access is restricted
The system is designed to operate against a configured working guild, block unsafe global actions by default, log administrative mutations, and expose dashboard controls only through local, token-guarded interfaces. No system is perfectly secure, but reasonable technical safeguards are used.
6. Your Choices
What users can do
- You may stop interacting with the bot at any time.
- You may contact server staff to ask about moderation records or support history.
- Deletion or redaction requests will be considered where feasible and compatible with moderation, audit, and safety needs.
7. Changes
Policy updates
This policy may be updated as the bot, dashboard, or server workflows change. Continued use of the service after an update means the revised policy applies.
